Phone System Contracts Decoded: Auto-Renewals, SLAs, and Exit Clauses

Phone system heartbreak is rarely about the technology — it's about the contract: the auto-renewal nobody calendared, the “guaranteed uptime” that guaranteed nothing, the exit fee that made leaving a bad provider cost more than staying. Here's the fine print, decoded.

Auto-renewal: the quiet trap

Many agreements renew automatically for a full new term unless cancelled in a narrow window (often 30–90 days before expiry, in writing). Miss it by a week and you're locked in for another one to three years. Defenses: calendar the window the day you sign, and negotiate renewal to month-to-month up front — reputable providers agree, because they plan to keep you with service, not clauses.

SLAs: read the remedy, not the number

“99.99% uptime” is marketing until you read what happens when it's missed. Real SLAs define measurement, response times by severity, and meaningful credits — automatically applied, not begged for. If the remedy for a week of outages is a $40 credit you must request in writing within 10 days, the SLA is decorative.

Early termination and the exit math

Understand the ETF formula before signing: full remaining balance? Declining schedule? And what happens to “free” installed equipment — because free hardware often converts to a buyout charge on exit. The total cost of leaving is part of the total cost of the system.

Your numbers are the hostage — free them in writing

Federal rules protect porting, but contracts create friction: port-out fees, “account must be current,” cooperation timelines. Get number portability and cooperation obligations stated plainly. Any provider that squirms here is telling you the exit plan.

Price escalators and gotcha fees

Annual increase caps (or their absence), “regulatory recovery” fees invented by the vendor, per-change charges for routing tweaks — ask for the all-in monthly number and the year-three number, in writing.
